Program Assistant

Overview:

This is a critical role which provides core back office (logistical, systems and programmatic) support to the Program Staff. As needed the person will also provide overall administrative organizational support (phones, and other support to additional ABC departments). This is an excellent position for ambitious, creative, systems-oriented individual seeking a career in the non-profit sector. This position will offer the employee exposure to numerous interesting experiences and opportunities to impact the effectiveness of a fast-paced, mission-centered non-profit based in Baltimore. This position reports to the Workforce Strategist.

Responsibilities include:

  • Coordinate activities related to key programs and initiatives including but not limited to; The Board Pipeline Leadership Development Program, The Financial Education initiative, The Workforce and Racial Equity Community of Practice quarterly sessions, The Racial Equity Institute and the Baltimore Aspen Workgroup meetings. Coordination of activities include but are not limited to:

  • Create and track event registration using Eventbrite (or another event platform)

  • Track and monitor all program related communication with external partners and key stakeholders,

  • Create and disseminate post participation surveys using Survey Monkey

  • Create registration materials including name tags, sign in sheets, etc.

  • Coordinate and track participation for all program (or as requested)

  • Conduct quarterly follow-up sessions with all program participants and organize data by program.

  • Provide support for meetings including distributing agendas, coordinating logistics, preparing materials, and arranging catering (as directed).

  • Assist in the development of a demographics tracking system for all programs

  • Coordinate survey and program data results and present information in a concise format (includes Board pipeline, Opportunity Youth reports, Workforce Practitioner Trainings)

  • Provide administrative support to the program team (Program Coordinator, Workforce Strategist & Senior Director of Strategy & Racial Equity)

  • Process and coordinate travel arrangements and expense reports for the program staff.

  • Assist with the maintenance of grant-related records, files, documents, and the submission of reports specifically for VCM and Workforce grants as directed.

  • Provides “quality control” of all program materials as relates to administrative duties.

  • Perform data entry utilizing MS Excel, and other custom databases.

  • Coordinate and monitor reporting timelines and send reminders to appropriate staff

  • Provide phone and other administrative support to the Executive Office.

  • Provide research, logistical and program support for ABC’s racial equity portfolio (as needed)

  • Work with the Development and Communications Department to ensure that all program events are properly marketed and communicated via all media platforms.

  • Effectively prioritize and meet multiple deadlines for program management team.

  • Respond to internal and external inquiries in a timely and professional manner.

  • Prepare and distribute correspondence to staff (as necessary).

  • Assist staff with various projects.

  • All other duties as assigned.

Knowledge, Skills & Abilities:

  • Understand and support the work of Associated Black Charities

  • Willing to understand the need to adopt and apply a racial equity lens to programmatic processes

  • Understand non-profit programming and respect systems and processes

  • Strong verbal and written communication skills

  • Strong logistical and administrative skills

  • Excellent skill level with Microsoft Office (Internet, MS Office, Word, Excel, and PowerPoint).

  • Ability to prioritize and manage multiple tasks in a fast-paced environment

  • Self-starter with the capacity to work independently and be an effective team member

  • Demonstrated ability to work and interact effectively with a variety of personalities

  • Able to exercise discretion and good judgment with sensitive and potentially controversial matters

  • Excellent people skills with a genuine commitment to customer service

  • Detailed-oriented, Creative and flexible

  • Ability to research information using Internet and other resources

  • Proficient with office equipment including copiers, facsimile machines, computers and scanners

Education & Experience:

Must possess a minimum of 2- 3 years relevant professional experience. Previous experience in a non-profit/foundation environment preferred.
